AIMed Global Forum 2027

Terms and Conditions

Paragraph 1. General Provisions

  1. These terms and conditions (the “Terms“) define the rules of participation in the Artificial Intelligence in Medicine Global Forum 2027 (“AIMed Global Forum 2027“).
  2. AIMed Global Forum 2027 is held in Kraków, Poland, and online, on the dates indicated in the event programme. The online edition is hosted on the virtual platform at stream.piebm.org (the “Virtual Platform“).
  3. AIMed Global Forum 2027 takes place alongside two related events — the McMaster International Review Conference of Internal Medicine (“MIRCIM“) and the Young Talents in Internal Medicine World Contest Finals (“Young Talents“) — held on the same dates in Kraków, Poland, and online. Registration for AIMed Global Forum 2027 grants access to all three events (see Paragraph 2).
  4. The organizer of AIMed Global Forum 2027 is Fundacja Polski Instytut Evidence Based Medicine, ul. Gazowa 14A, 31-060 Kraków, Poland, Court Register (KRS) number 0000154665, tax ID (NIP) 6762258220 (“PIEBM“).
  5. Participants (the “Participant(s)“) eligible for AIMed Global Forum 2027 are:
    1. persons qualified to prescribe medicinal products and persons trading in medicinal products within the meaning of Art. 52.2.6 of the Polish Act of 6 September 2001 Pharmaceutical Law;
    2. other health-care professionals working within the subject matter of the event, and medical students;
    3. researchers, data scientists, medical informaticists, developers, healthcare innovators, engineers, ethicists, legal experts, regulators and policy-makers, health-system leaders, entrepreneurs and industry representatives, investors, and students and early-career researchers working at the intersection of artificial intelligence and medicine.
  6. The Terms apply to all Participants of AIMed Global Forum 2027 and are made available to the public on the event website.
  7. The scientific and didactic sessions and the exhibit hall for medical and pharmaceutical companies shall be made available exclusively for the Participants referred to in paragraph 1.5 of the Terms.
  8. AIMed Global Forum 2027 takes place on-site at the event venue on the days indicated in the event programme, as well as online on the event website.
  9. By registering, Participants agree to comply with the AIMed Code of Conduct and the AIMed Scientific Code of Ethics, which are published on the event website and form an integral part of these Terms.

Paragraph 2. Participation and Cancellation Terms

  1. Participation in AIMed Global Forum 2027 is paid. Registering for AIMed Global Forum 2027 grants access to all three events (AIMed Global Forum 2027, MIRCIM and Young Talents). Pricing details are available on the event website.
  2. In-person participation includes:
    1. access to all sessions on Day 1, Day 2 and Day 3 of AIMed Global Forum 2027, MIRCIM and Young Talents;
    2. complimentary access to live streaming;
    3. on-demand access to video recordings from the conferences for 12 months;
    4. on-site exhibits;
    5. access to posters from the Young Talents in Internal Medicine World Contest in the exhibit hall;
    6. access to posters from AIMed Global Forum 2027 in the exhibit hall;
    7. refreshments and coffee breaks on each day (included);
    8. lunch on Day 1, Day 2 and Day 3 (available for an additional fee);
    9. conference materials;
    10. certificate of attendance.
  3. Virtual participation includes:
    1. live-stream access to all sessions on Day 1, Day 2 and Day 3 of AIMed Global Forum 2027, MIRCIM and Young Talents;
    2. on-demand access to video recordings from the conferences for 12 months;
    3. access to abstracts and posters from the Young Talents in Internal Medicine World Contest;
    4. access to abstracts and posters from AIMed Global Forum 2027;
    5. conference materials;
    6. certificate of attendance.
  4. Post-event virtual participation includes:
    1. on-demand access to video recordings from the conferences for 12 months;
    2. access to abstracts and posters from the Young Talents in Internal Medicine World Contest;
    3. access to abstracts and posters from AIMed Global Forum 2027.
  1. AIMed Global Forum 2027 does not offer EACCME® / CME educational credits. Educational credits are available for MIRCIM and Young Talents under the rules established by the European Accreditation Council for Continuing Medical Education (UEMS-EACCME®), as published separately on the MIRCIM website.
  2. Participants can withdraw their participation. Cancellations can be made prior to Day 1 of the events and must be reported in writing to registration@piebm.org.
  3. The following shall apply to withdrawal of paid participation in AIMed Global Forum 2027:
    1. if PIEBM receives a declaration of withdrawal before 31 December 2026, the Participant shall receive a full refund of the paid participation fee;
    2. if PIEBM receives a declaration of withdrawal between 1 January and 31 March 2027, the Participant shall receive a partial refund of 50% of the paid participation fee;
    3. after 1 April 2027, the participation fee is non-refundable;
    4. PIEBM shall have 60 days to refund the payment once the Participant has met all the requirements for submitting the withdrawal to registration@piebm.org;
    5. the refund will be made to the original payer, using the same method of payment used for the purchase.
  4. The Participant must participate in the event in a way that does not hinder or interfere with its conduct. The Participant must not undertake any actions that (a) are against the provisions of generally applicable law or good practice, (b) violate other Participants’ rights of publicity, or (c) violate the legitimate interests of the organizers or other Participants.
  5. To maintain safety, Participants are asked to comply with the health and safety rules and regulations.
  6. The organizers reserve the right to modify the event programme at any time. Programme changes are not acceptable grounds for requesting a refund.
  7. Participants agree to receive information about the event via email.
  8. Participants are responsible for arranging their own travel, medical and personal insurance in connection with their attendance. PIEBM accepts no liability for any loss, injury or damage in this respect.
  9. Participants are responsible for their own travel and accommodation arrangements. Cancelling or changing a registration does not cancel any hotel or travel bookings the Participant has made; these remain the Participant’s sole responsibility.
  10. Where a visa is required, it is the Participant’s responsibility to obtain it in good time. PIEBM can issue an invitation letter to Participants who have completed and paid their registration in full, but an invitation letter does not guarantee that a visa will be granted. A visa refusal does not create any right to a refund beyond the standard cancellation terms set out in paragraph 2.7.
  11. The organizers may refuse admission to, or remove from the event, any person who breaches these Terms, the Code of Conduct or the Scientific Code of Ethics, or whose conduct is unlawful or disruptive, without any right to a refund.

Paragraph 3. Payment Terms

  1. The Participant may choose one of the following payment methods:
    1. bank transfer to the PIEBM bank account: Powszechna Kasa Oszczędności Bank Polski SA, ul. Lubicz 17a, 31-503 Kraków, SWIFT Code: BPKOPLPW, account [EUR] PL 35 1020 2892 0000 5402 0834 7934, with the title “AIMed”, quoting the following information:
  • For payments made by individuals: first name and surname, address;
  • For payments made by entrepreneurs (e.g. a medical practice): the entrepreneur’s full business name, business address, and tax identification number (TIN);
  • For payments made by a company/institution on behalf of an individual: the company’s/institution’s full business name, business address, and tax identification number (TIN), as well as the first name and surname of the individual for whom the service is provided.
  1. online transfer via Stripe.
  1. PIEBM shall issue invoices for the payments made. Invoices shall be sent by email in PDF to the email address provided during the purchase.
  2. The payer (invoice addressee) is the entity ordering individual services related to participation in AIMed Global Forum 2027. Issued invoices can be corrected only in justified cases.
  3. If the Participant fails to pay the participation fee by the date specified on the event website, PIEBM shall be entitled to cancel the Participant’s registration.

Paragraph 4. Complaints

  1. Complaints can be submitted in writing to the following address: registration@piebm.org.
  2. Participants may submit their complaints no later than 14 business days from the final day of AIMed Global Forum 2027.
  3. Complaints will not be considered if submitted after the above-mentioned deadline.

Paragraph 5. Personal Data

  1. PIEBM is the controller (the “Data Controller“) of the personal data provided during the purchase process by Participants and entities placing the order. Personal data of the Participants will be processed under the conditions set out in Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (OJ L 119, 4.5.2016, p. 1–88) (the “GDPR”), Polish regulations adopted to enable the application of the GDPR, and other applicable legal provisions. The Data Controller does not sell the collected personal data of Participants to other persons or institutions. Personal data provided by Participants are treated as confidential information and are used only for the purposes indicated in the Information Clause of the registration form.
  2. If the Participant selects payment via the Stripe system, their personal data, to the extent necessary for the payment, shall be made available to Stripe, which shall act as a separate data controller.
  3. Participants may be photographed or captured on video by the organizers or their partners during AIMed Global Forum 2027. Some of these photographs and videos may be displayed on the event website and associated social media profiles. Participants grant the organizers the right to record and use their image, voice, and name free of charge in photographs and videos in which they appear, for promotional purposes.

Paragraph 6. Technical Requirements

Virtual participation in AIMed Global Forum 2027 requires the following:

  1. a device such as a computer (desktop, laptop), smartphone, or tablet with Internet access and a recommended bandwidth of at least 2 Mbps;
  2. an updated operating system;
  3. current versions (as of the date of participation) of Internet browsers such as Microsoft Edge, Google Chrome, Mozilla Firefox, Opera, or Safari;
  4. enabled audio/video functions and enabled mechanisms for recording browsing activity (cookies).

Paragraph 7. Liability

PIEBM shall not be held responsible if:

  1. the Participant provides incorrect data;
  2. the Participant fails to meet the technical requirements necessary to participate in AIMed Global Forum 2027;
  3. the Participant suffers losses and lost profits due to: providing incorrect data by the person who made the purchase; acts or omissions of third parties beyond the control of PIEBM; or a change of the event date or its cancellation due to force majeure, such as natural disasters (fire, storms, floods), governmental or societal actions (war, invasion, civil unrest, labour strikes), and infrastructure failures (transportation, energy).

Paragraph 8. Intellectual Property

  1. The title and programme of AIMed Global Forum 2027, including the event website, layouts, logotypes, graphics, photographs, audio/video files, and presentations used in connection with AIMed Global Forum 2027, are the property of PIEBM and are legally protected.
  2. The above-specified brands and materials may not be used without the written consent of the entity or person who is the owner. Reproducing training materials, recording the event’s lectures, and sharing such materials and recordings are illegal and subject to protection under the Polish Act of 4 February 1994 on Copyright and Related Rights.

Paragraph 9. Miscellaneous

  1. If AIMed Global Forum 2027 has to be cancelled for reasons attributable solely to PIEBM, PIEBM shall immediately refund the fees paid by Participants to the Participants’ bank accounts using the data provided during registration.
  2. Any disputes arising in connection with participation in AIMed Global Forum 2027 shall be resolved as follows:
    1. for Participants who are consumers — by the competent court under the provisions of the Polish Act of 17 November 1964, Code of Civil Procedure;
    2. for Participants who are not consumers — by the court competent for the seat of PIEBM.
  3. By logging in to the Virtual Platform, the Participant accepts the provisions of these Terms and agrees to comply with the regulations made between the Participant and PIEBM.
  4. PIEBM reserves the right to amend these Terms where necessary. Any changes will be published on the event website, and the version in force is the one published there at the time of registration.
  5. In matters not covered by these Terms, the appropriate provisions of law shall apply.

These Terms become effective as of 1 September 2026.
